Short description of the contract or purchase(s): As an integral part of its communication activities, the Foundation regularly runs PR initiatives and organises, exhibits and attends conferences, seminars, workshops and other information events. In support of these activities, the Foundation requires services for the provision of printed materials, exhibition hardware and associated soft furnishings (banners, wall hangings, table covers etc.) and promotional goods. Quantity or scope of the contract II.2.1) Total quantity or scope: Lot 1: the contractor will provide a modular suite of exhibition equipment that can accommodate the needs of different occasions and circumstances as set out below: - permanent exhibitions in the Foundation's offices in Dublin and Brussels; - small and medium exhibitions outside the Foundation premises; - branding possibilities suitable for the Foundation's own events and for Foundation participation at 3rd-party exhibitions. The contractor will supply exhibition hardware and soft furnishings (banners, wall hangings, table covers etc.) to suit the above elements after discussion with the Foundation as to design, branding and deadlines to be kept. Any items damaged either by wear and tear, transport or other circumstance during the course of the contract will be repaired or replaced by the contractor at an agreed cost. The equipment will be transported to the venue, built and taken down by Foundation staff attending the event. In addition to being easy to use and visually attractive, the suite must have the following features: - all elements are compatible so that they can work together and separately; - additional elements can be added at a later stage if necessary; - additional elements are easily available; - the module is easily adaptable to different themes, meaning that single panels can be changed according to the particular needs of the Foundation; - it is hardwearing and can stand up to regular travel; - it is light so that carrying or setting it up is not too strenuous; - electronic, sound and lighting features can be integrated; - it has a lockable area where material can be securely stored. the contractor will provide (lease, rent, hire etc.) structures for 1-off customised events, accommodating the needs and circumstances as set out below. Some elements of the equipment may be purchased by the Foundation while other elements such as framework, screens and other electronic parts will remain the property of the contractor: - large non-permanent exhibitions where the Foundation's smaller exhibition stands are insufficient; - 1-off events designed to promote a particular message/image but where the equipment will not be used again; - events with a large element of electronic presence where 2 or more display screens are needed as an integral element to the Foundation's exhibition area. The contractor will supply the exhibition hardware for the events after discussion with the Foundation as to design, branding and deadlines to be kept. On average there are 2 events of this nature per year. It is foreseen that the contractor will design, transport, build and take down the structures as required. the contractor will provide a range of branded promotional goods to be used as gifts to target audiences. These goods, to be appropriately branded with the Foundation's logo and suitable for a non-profit-making organisation, will primarily fall into 3 categories: (1) lower value free gifts for conferences and other promotional events; (2) medium-priced items which can be given to individuals; (3) corporate gifts at the higher end of the promotional spectrum e.g. quality pens, leather goods; Lot 4: the contractor will provide a range of printed promotional materials to support campaign activities or other agreed PR initiatives. Such printed materials may include brochures, leaflets, branded folders, CDs, fact sheets, posters etc. range: between EUR 0 and EUR 160 000. Information about lots Lot No 1 Title: provision of corporate exhibition hardware (including design) for use at different types of events 1) Short description: Exhibition equipment: biannual purchase of a modular suite of exhibition hardware which is flexible for use in small or larger spaces, provision of design and branding of panels etc. according to the Foundation's corporate house style and thematic focus; lighting and audio-visual elements as required; provision of some customised elements for 1-off requirements.
