Short description of the contract or purchase(s): Provision of catering services. The contractor will provide catering for conferences, meetings, working lunches and other events, as described under point 4 of the tender specifications. The contractor will provide canteen service in the dining hall for approximately 45 staff on each working weekday over 51 weeks per year, as follows: morning break (coffee/snack, etc.): 10:30 to 11:00 and 15:30 to 16:00; lunch: 12:30 to 14:30. Provision of catering for conferences, meetings, working lunches/dinners and other events for between 1 500 and 2 000 people per year with numbers of participants per event ranging from 10 to 120. Notification of final number of participants shall be given to the contractor at least 5 days or, in exceptional circumstances, 2 days before the date of the function. a) 4-course lunch or dinner (starter/main course/dessert/coffee): โ€” served meal in dining hall, โ€” self-service meal in dining hall, โ€” served meal in meeting room (for a maximum of 15 people); b) reception canapรฉs (food only); c) wine โ€” per bottle 75 cl; d) beer โ€” per glass 25 cl; e) tea/coffee + biscuits (up to 5 000 cups of coffee per year). B. Staff service (approximated daily sales figures on page 14 of the tender specifications): Morning break: scones, croissants, Danish pastries, toast, butter and jams, coffee, tea, juices, yoghurt and a selection of fresh fruit. meat, fish, vegetarian portion, salad portion, vegetable/potato portion, soup, bread, rolls, sandwiches, dessert (fruit salad), tea, percolated/instant coffee, Rombouts filters, herbal tea, soft drinks, butter portion, yoghurt, fruit. The contractor shall manage hot drink vending machines in 2 coffee docks which are the property of Eurofound located on the ground and first floor of the main building, including responsibility for the collection of used crockery and cutlery. The contractor shall manage the snack vending machine which will be located in the dining hall area. A number of 4โ€“6 external conferences are organised yearly on the Eurofound premises for which catering is required. Negotiation of price and billing are dealt directly with the beneficiary. The estimated annual budget is up to a maximum of EUR 100 000. Over a 4-year period the total maximum estimated budget is EUR 400 000. Range: between EUR 0 and EUR 400 000. Level of detail in the proposal demonstrating an understanding of the services required by Eurofound. The contract will be awarded on the basis of the quality of the proposal and cost which, in the opinion of the European Foundation for Improvement of Living and Working Conditions, most satisfy the necessary economic and technical capacity. Only tenders achieving a minimum of 70 % of the total score will be further evaluated in relation to price. The tender offering best value for money will be chosen.
