Provision of Specialist Information and Guides Services in the Irish Aid Information Centre

Purpose of the Engagement.
Irish Aid now seeks the services of an external service organisation from August 2012 to February 2014 to:
— Provide services to manage the day-to-day administration of the Irish Aid centre, including ministration of centre bookings, management of exhibitions and events and collating customer feedback,
— Through the use of part-time, information guides, provide a professional, development-focused information service at the Irish Aid Centre. In addition to ensuring coherent messaging regarding the work of Irish Aid and development issues more generally, the guides will play a central role in the delivery of the centre schools programme and other outreach programmes undertaken during the year,
— Provide external technical expertise in the mounting of new and current exhibitions in the Centre on a regular basis, focused in particular on showcasing the work of Irish Aid and others, as deemed relevant, in Africa.
It is expected that the external service will provide a team of guides on a draw-down basis to support the activities as outlined above and the service provider will also appoint.
A coordinator who will oversee all aspects of the assignment. This coordinator must have both substantial management experience and a solid knowledge of development-related issues.
Centre Administration.
The Centre is open to the public six days a week, from 10am to 5pm Monday to Friday and also on Saturday from 10am to 3pm. The service provider will be required to service the reception desk during these opening hours and to facilitate the overall administration of the Centre.
As part of the general functions while servicing the reception desk, the contracted provider will be expected to organise the logistics around all events held in the centre, including:
Management of the bookings service (for NGOs, school tours, other groups etc.) for visits to and use of the centre – see also further detail below.
Set-up of the Centre for visits/use by specific groups and oversight of that use during booked events;
— to ensure that guides are fully trained to facilitate the efficient hosting of events in the Centre and can make full and proper use of all technological equipment and facilities,
— to gather, collate and report statistical data and client feedback on the use of the Centre as a venue.
